There are four main steps in Acadeum's Enrollment Process:
- A student begins by working directly with their Home Institution's Advisor or Registrar. Or, if their Home Institution uses the ACS Student app, by submitting a Student Registration Request in the app.
- Home Institution reviews requests and potentially submits an Enrollment Request to Teaching Institution.
- Teaching Institution reviews and potentially accepts the student's enrollment.
- The student will receive notifications from both Acadeum and the Teaching Institution with information on course requirements, login credentials, and other helpful information.
These steps are further described below:
Registration Request from Home Institution
For Home Institutions using the Acadeum Course Share (ACS) Student Application
Students will create an account in their Home Institution's ACS student application using the email address provided by that institution. Students can then search for course options that have been vetted and pre-approved by their Home Institution to appear in the student app. After submitting a registration request, students will receive enrollment notifications at the email address used to sign up. The first email occurs when their Home Institution has approved or denied the student's registration request.
If the Home Institution approves their request in the ACS Admin Application, an enrollment request is sent to the Teaching Institution for review and potential enrollment acceptance. ACS administrators can also submit an enrollment request directly to the Teaching Institution without first receiving a student registration request.
For Home Institutions not using the ACS Student Application
Some Home Institutions do not utilize the ACS Student App. Students will work with their Advisor or Registrar outside of ACS to determine appropriate course options. Once a course is identified, ACS administrators will submit an enrollment request directly to the Teaching Institution. After the Home Institution administrator submits this request, the student will receive notifications at the email address provided by the administrator in the request.
Acceptance by Teaching Institution
The second email a student receives is the notification that comes when the Teaching Institution accepts or denies the enrollment request. If the student's enrollment is accepted by the Teaching Institution, the student receives an enrollment acceptance email containing important "welcome letter" content. This email includes information related to how and when login credentials are sent, how the learning management system is activated, who the appropriate contacts are at both the Home and Teaching Institutions, as well as other information pertinent to starting class.
Gaining Access to the Course
Students taking courses with another institution may possibly need to utilize a different learning management system (LMS). The student will receive login credentials directly from the Teaching Institution by email. Students may need to search their SPAM folders as far back as the day they requested the course to find the credentials. At minimum, login credentials are sent two days before classes begin but can be sent within hours of the initial request.
Class Start Reminders from Acadeum
Acadeum will send an email to the student seven days out from the start of class and the day class begins. In these emails are a link to the master syllabus, information on who to contact for login assistance, and additional contacts at the Teaching Institution.
After Gaining Access to the Course
The schedule for the Teaching Institution's course may be on a different schedule than the student's Home Institution. The syllabus should be referenced to ensure the student understands the participation, academic, and policy requirements of the course. The final syllabus is found within the course shell in the learning management system and should be referenced on the fist day of class to gain an understanding of the attendance requirements for the class.
